Xero & Fleet Card Integration
Will I be charged a fee to integrate Xero to my Fleet Card account?
No, the integration is completely free for new and existing users.
Will all Fleet Card users with Xero accounts be able to integrate their accounts with Xero?
The Xero integration is only available for single accounts. The integration is not possible for large enterprise customers with multiple accounts.
Is the integration available to Blue and Orange Fleet Card users?
Yes –If you have an Orange or Blue Fleet Card, you can integrate your account with Xero.
Can I summarise all transactions for a specific vehicle registration in Xero?
No, if you choose an itemised Fleet Card invoice, every line item on your invoice will sync to Xero.
When should I select “send a summary” vs “send individual transactions”?
The summary is an overview of the total of all transactions in the invoice period, and can be reconciled in one go, for example as vehicle expenses. If you want to break down each transaction and reconcile transactions separately, select individual transactions. This means you can account for fuel expenses against one expense account and other charges on the invoice to another account.
What does Xero mean by “accounts” and “tax rate”?

Why do I keep seeing multi-factor authentication and how do I fix it?
Multi-factor authentication (MFA) is a security process that uses at least two different factors. It’s away of checking that it's really you when you log in. MFA is mandated for all Xero users in all regions to improve the security of your data. If you’re having problems using MFA, you can troubleshoot on Xero Support.
Will the integration sync and show Fleet Card invoices from before the integration?
The integration will only sync new invoices generated after you have paired your Xero and Fleet Card accounts. It is not possible to sync invoices from before the integration.
Do invoices sync to Xero immediately?
Your next invoice generated in Fleet Card Online will be synced later that day, usually within 12hours.
If I disconnect Fleet Card from my Xero account, does it remove the previous invoices synced?
When the integration is paired, any future invoices are synced automatically. If the integration is disconnected the syncing stops. No previous invoices are deleted or removed from Xero – you can choose to do this manually in Xero if needed. Once the integration is paired again, the next invoice generated in Fleet Card Online will be synced as normal.
Shell Card
How do I activate my card?
Shell Cards are sent inactive for security reasons. Upon receiving your card, call our Business Fuel Cards customer service on 1300 178 178. Please have your card/s ready to advise of the card numbers.
How do I set up my PIN?
As part of Shell Cards protection policy, all Shell Business Fuel Cards are PIN protected. You will be prompted to enter a pin when you first use your card. Choose four numbers that you will remember and repeat your PIN to confirm. This will become your permanent PIN.
What if I forget my PIN?
If you forget your pin, please call Business Fuel Cards customer care on 1300 178 178.

What to do if a card is lost/stolen?
Please notify your Fleet manager / office manager immediately. If you’re the account holder, you can call us on 1300 881 246 or log into your account at https://bfo.bfcards.com.au and cancel your card.
What to do if a transaction is declined?
In the case of a declined transaction, contact your Fleet Manager or call Business Fuel Cards customer service on 1300 178 178.

What is the difference between Fleet Card Orange, Fleet Card Blue and Shell Card?
 
  • Fleet Card® Blue: A fuel and oil only expense management card that offers protection and savings, accepted at over 90% of national fuel sites.  
  • Fleet Card® Orange: A fuel, oil, and repairs expense management card that will track your fuel efficiency and protect against fraud, accepted at over 90% of fuel sites and over 6000 non-fuel partners.  
  • Shell Fuel Card: A fuel expense management card that offers flybuys points and discounts on both diesel and petrol throughout the Shell and Coles Express network.

What to do if I can’t find a Shell/Coles Express fuel station?
Fleet Card is accepted at over 90% of petrol stations throughout Australia. Use the Fleet Card site locator or download the Fleet Card Mobile App to find your nearest fuel station.
What is a surcharge?
A card surcharge is an additional percentage that the fuel station can charge under the Reserve Bank of Australia legislation.

A small percentage of accepting sites.
How do I find out which fuel station applies a surcharge?
The Fleet Card site locator display these fuel stations and the retail counter will also state if Fleet Card transactions will be surcharged.
